Role Center Actions

This table lists and describes the actions on the Role Center's Actions menu.

Section Action Description
  Activity Shortcut to create a new activity (single appointment).
  Reservation Shortcut to create a new reservation.
  Group Shortcut to create a new group reservation.
  Add to Shift Add human resource to a shift.
Note: Only enabled if Staff Management license is active.
  Matrix Shows the resource availability matrix.
  Search

General search for client, reservations, admissions or activities.

The Activity Search page can also act as a reception functionality to validate admission (ticket) and membership access. The list of results will always validate the access status (shown as part of the results) towards the current location, and current date and time, that is if a membership or admission) is valid.

The search criteria can be based on client details like name, address, phone number, or email, but also on transaction information, like reservation number or date, membership number, and ticket number. This leads to that the user can enter (or scan as barcode): ticket, membership or client number for validation of access.

Page actions:

  • Clear Search - Clear search criteria.
  • Register Access - Validate Number/Barcode entry towards membership or admission. If access is granted, a notification is issued with detailed information and an admission entry is created, but otherwise an error message with further details on denied access is displayed.
  • Next Available - See resource list and next availability.
  • New - Create new reservation, activity, client, or membership.
  • View - Matrix or related Reservation, activity, member cards. Access to related comments and client images.
  Change Location Change the view to another location (provided the user has access).
  Reminders Send out email reminders.
View Current Resources  
  Resource Status View resource availability and assignments.

This view is shown as a matrix of resources (horizontally) and time, if an interval is set. If no interval is set, then only one entry per day will be shown.

  • Use the Template to select preset filters and settings, which are shared with the Matrix view.
  • Use Prev Set and Next Set actions to shift the view to previous or next set of 10 resources.
  • Use the Assist Edit action on the cells to view menu of options: Booking New Activity, Re-scheduling Activity, Transfer Activity to another resource or edit the resource Unavailability.
  • Use the Drilldown to open the list of activities or the Activity Card if only one activity is assigned.

Tip: For quick entry of new activity, simply enter an Activity Product code to start the booking process.

  Resource Capacity View resource capacity settings.
  Resource Analysis View a summary of confirmed activities per period and resources.
  Timeline View the selected day's agenda in chronological order.
  Reservation Summary View a list of all important amounts and figures in reservations.
  Activity Summary View a list of all important amounts and figures in activities.
  Item Reservation Summary View a summary of all items reserved and associated with reservations.
Note: Charges to reservations done via Point of Sale are not included.
You can filter the list by Item Category, Item Product Group, Item Special Group, and single or multiple items filters. Deals can also be viewed separately. The view can be filtered by locations and/or events.
Note: Only confirmed reservations and activities are included. The user can drill down to the source entries and select to view based on amounts or quantities. Unit of measure is always the base unit of measure.
