How to: Set Up Classes
Classes are products which have an ongoing schedule and limited capacity. Classes do not require a reservation as a participant container, since every class assignment is an individual activity (appointment) for each session.
- From the Bookings Role Center you can access different setups by using the Administration menu in the left navigation pane.
The table below lists some of the setups that are available on the Setup page (under Administration).
Product Type | You should assign the Product Type to Class if you want to keep all class registrations and sessions in a single reservation according to date and time. If you prefer to keep all registrations as individual reservations, then set the product type to Activity instead. |
Reservation Type | You must have a reservation type which includes (allows) the activity type created for this purpose. |
Activity Type | You must have an activity type with Day Duration as a single day. |
Resource Group | You must create a resource group with Type Other. Capacity Based On should be Location/Day/Time Secific Quantity, and Usage Count Based On either Quantity or No. of People, depending on your needs. |
Resource | You must create a resource belonging to your resource group. This resource defines the schedule and capacity of your classes. Use the Day Specific Capacity action, and note that you can define a schedule without setting a specific date, and just use the Weekday setting. For periods when you do not want to offer the class, you can also define unavailability that would block the schedule accordingly. |
Activity Product | You must define a product with your pricing (or 0 price, if applicable), with the Resource (specified above) as a fixed specific resource. To reserve a spot on the class for a specific date, you simply reserve this product as you would normally for the clients. Note: Since this is a single resource product, you can use the Product Schedule action on this product to define the schedule offering. Note: When you create a new item, the Product Schedule option is disabled by default. It will become active, if the product has only a single defined resource as the required one; it is basically setting the schedule for that resource. So it is only possible to set the product Schedule after you have set up the activity type on the product and the required resource. When creating a new item, you may need to refresh the page (press F5) to see the option enabled. Note: You can have multiple products depending on a single resource, thus you can offer multiple pricing (senior pricing) as an example for the same class. Note: Make sure the assigned interval type for the product includes the times within which the ongoing class schedule fits. Note: If you need to reserve other resources related to this, for example the room needed to perform the class, a workaround would be to create unavailability registration on the resources involved. In addition, you can use the Product Schedule to assign other required resources related to this service. Note: Make sure that the specified resource is capable of handling the product. |
