Reservation Extras

Reservation extras allow users to add new items to a reservation. They also contain all rate attributes coming from the rate code.

Rate Attributes

Rate Attributes are automatically added to the Reservation Extras upon confirming the reservation or changing the rate code.

They appear in green and are not editable.

Items

Reservation Extras allow users to add additional items that were not included in the reservation rate code. These items can be added in advance or during the stay.

For example, if a guest asks to have champagne ready in the room on arrival, we can create a new Reservation Extra for the Champagne and have that charge added to the Reservation.

Activity Items

If for any reason the activities included in rate or package are not created, they will appear in red and the Attention field will be turned on. In that case, click Create Activity under the activities action group, and it will be created. After that you have to manually turn off the Attention field on the reservation.

Staying Period

All Reservation Extras must have a Date within the time period of the Arrival Date and Departure Date of that Reservation.

To increase this range, there is a configuration in the General tab of the Hotel Setup. The field Res. Extra Shoulders (No. of Days) defines the number of days before or after the staying period when it should be possible to add new Reservation Extras. For example, if this field has a value of 2, the system will allow new reservation extras two days before the arrival date and two days after departure.

Note: Be careful using this field as it has no limitations, the system will accept any number of days.

Posting Pattern

The Posting Pattern specifies the dates that the Reservation Extras will be set to. This field has 4 options:

  • Daily: The Reservation Extra will be scheduled for every day of the stay except Departure Date.
  • Arrival Date: The Reservation Extra will be scheduled the Arrival Date.
  • Departure Date: The Reservation Extra will be scheduled the Departure Date.
  • Reservation: The date can be set manually.

Offset

This field shifts the Reservation Extras by 1 day forward or backwards depending on the Posting Pattern:

  • Daily: The Reservation Extra will be scheduled for every day of the stay except Arrival Date.
  • Arrival Date: The Reservation Extra will be scheduled for the day after Arrival.
  • Departure Date: The Reservation Extra will be scheduled the day before Departure.
