The Deposit Schedule page lists all deposit payments expected for a reservation based on the Deposit Policy defined in Rate Code.

To view the deposits schedule for a reservation:

  • In the Hotel Reservation Card, click the Related action, then select Policies, and click the Deposit action .

Tip: You can also access the Deposit Schedule page from the Deposit Due link in the Summary FactBox in the Hotel Reservation Card.

To issue deposit schedule line manually

Deposit schedule supports issuing additional deposit lines manually:

  1. Open the Deposit Schedule page.
  2. Click the Issue Schedule action.

This process removes all unpaid policy lines and recreates them.

To add deposit schedule line manually

Deposit schedule supports adding additional deposit lines manually:

  1. Open the Deposit Schedule page.
  2. Click the New action, and fill in the fields Due Date, Deposit %, or Fixed Amount, and, optionally, Description.

The deposit schedule line changes

Deposit schedule line changes are triggered by the following:

  1. When the Hotel Reservation status changes, the deposit schedule lines are changed according to the setting in the Hotel Status Card, group Advanced and field Deposit Schedule Handling. The options are: None, Issue Deposit Schedule, and Delete Deposit Schedule.
  2. Change of Routing rule.
  3. Invoice Type change and hence often when the Folio No. changes.
  4. Change in the reservation balance.
  5. Arrival Date and Departure Date changes.

Deposit Schedule page

Field Description
Reservation No. The number of the hotel reservation.
Line No. Auto increment line number to have a unique primary key. The primary key is Reservation number and Line number.
Arrival Date Arrival date for the reservation.
Confirmation Date Confirmation date for the reservation.
Deposit Due Date The date when the deposit is due for the deposit schedule line.
Deposit Code Reference for the deposit policy.
No. of Days Number of days before arrival.
Deposit % Deposit percentage based on the reservation amount.
Deposit Amount Fixed deposit amount.
Description Description of the deposit schedule line.
Payment Date Date of deposit payment.
Paid Indicates whether the deposit is due or not.
Base Amount The base amount to calculate from, for example the sum of Invoice Type changes.
Transaction POS Transaction No. of the deposit payment.
Transaction Line No. POS Trans. Line No. of the deposit refund.
Includes Tax Indicates if the deposit amount with percentage is calculated based on Total Charges Amount Including Taxes or not.
Deposit Calculation Method The calculation method from Deposit Policy. Value 0 is none, value=1 is Before Reservation Date and value=2 is After Confirmation Date.
Payment Entry No. Link to the Reservation Payment Entry table.
Invoice Type Schedule line Invoice Type: Guest, Company, Paymaster.
Folio No. Folio number for the deposit schedule line.

To pay deposit schedule

  1. On the Deposit Schedule page, click the Deposit action.
  2. On the Invoice Management page, click the Deposit action.
  3. Fill in the fields in the Deposit Payment page.

Deposit Payment page

Field Description
Schedule Line Date (Optional)Set reference for the deposit schedule line to pay. The line is not visible when it is opened from the Deposit Schedule page.
Deposit Amount The deposit amount to pay. To refund, the amount needs to be negative.
Payment Type The payment type code.
Invoice Type The payment invoice type.
Folio No. The payment folio number.
Reserv. Total Charges The amount of reservation total charges. This is a non-editable field, only intended to help the user.
Reserv. Deposit Paid The amount of deposits already paid. This is a non-editable field, only intended to help the user.
Reserv. Balance The amount pending to be paid. This is a non-editable field, only intended to help the user.
Is Refund Specifies whether it is a refund or not. The field is locked when it is opened from Deposit Schedule page.
Refund Receipt No. The receipt number to be refunded. This field is required to make a refund.
