Guest List
The guest list is displayed as a FastTab on the New Reservation page and is also accessible from the Reservation Builder before a reservation is confirmed. The guest list is automatically populated based on the Adults and Children fields in the General FastTab. The primary guest is set from the Guest Name field.
Users can add, remove, and modify guests directly in the guest list. Changes to the guest count (adults or children) are reflected in the reservation totals and may trigger rate recalculation.

| Guest Name | The name of the guest. This field is linked to the Member Contact table. Selecting an existing member contact automatically fills in related guest information. |
| Guest No. | The member contact number for the guest. This uniquely identifies the guest in the member management system. |
| Guest Type | Specifies the guest type code assigned to this guest. Guest types can affect rate pricing. See Guest Types. |
| Guest Group Type | Indicates the guest group classification. The options are: Adult, Child, or Infant. This value is derived from the guest type and determines how the guest is counted on the reservation. |
| Is Primary Guest | Indicates whether this guest is the primary guest on the reservation. The primary guest is typically the person who made the booking. |
| Document ID Type | Specifies the type of identification document for the guest. The options are: National ID Card, Passport, Driver's License, or Residence Permit. |
| Document ID No. | Specifies the identification document number for the guest. |
| Country | The guest's nationality or country of origin. |
| Age | The age of the guest. This is particularly relevant for child guests, as it may affect rate pricing. |
| The guest's email address. |
Convert Guest to Member
The Convert Guest to Member page allows hotel staff to create a new member contact for a guest or find an existing member contact by searching for a Document ID. This is useful when checking in a guest who is not yet registered in the system.
The page opens automatically when you edit the Guest Name field on a guest list entry that is still assigned to the Default Member (that is, a guest who has not yet been linked to a specific member contact). This happens on both the Guest List subpage on the reservation and the standalone guest list page.
From this page, you can:
- Search for an existing member contact by Contact No. or by Document ID.
- Create a new member contact with the guest's information, including identification document details. Use the Member Card action to open the full member contact card for the new record.
If a matching member contact is found by Document ID, the guest is automatically linked to that contact. If no match is found, a new member contact is created and assigned the Default Member Club and Default Scheme Code configured in Hotel Setup.
Excel Import/Export
The guest list supports import and export via Excel. This is useful for group reservations where a large number of guests need to be added at once.
To export the guest list to Excel
- Open the reservation and navigate to the Guest List FastTab.
- Click the Export to Excel action.
- The guest list is exported to an Excel file, including columns for Guest Name, Document ID Type, Document ID No., Guest Type, Country, and other guest fields.
To import a guest list from Excel
- Open the reservation and navigate to the Guest List FastTab.
- Click the Import from Excel action.
- Select the Excel file with the guest data.
- The system imports the guest records and creates or matches member contacts as needed.
Note: When importing, if a guest's Document ID matches an existing member contact, the system links the guest to that contact instead of creating a new one.
