Activity Users

Users who need access to the Bookings module functionality should have their user login registered here because of assigned default settings and limitations. Some functionality or views may work without this setting, while certain functions may not and all views assume no restrictions.

Note: This is not access control or Business Central user permits, but rather settings which may further limit, restrict, or make the module easier to use for the user in mind.

Also, have in mind that POS clients do have their own Business Central logon identification and are considered as users.

To register Bookings users

  1. Click the icon, enter Activity Users, and select the relevant link.
  2. Click the New action on the Activity Users page.

The page has the following fields:

Field Description
User The Business Central user logon identification.
Sales Person The Business Central user sales person identification, assigned by default on all reservations this user creates.
Default Reservation Type The default reservation type that is assigned when this user creates a new reservation.
Default Location The default location that is assigned to a reservation or an activity, when this user creates a new reservation or a new activity entry.
Reservation Type Filter The list (filter) of reservation types that this user can view and possibly create and/or edit.
Activity Type Filter The list (filter) of activity types that this user can view and possibly create and/or edit.
Resource Group Filter The list (filter) of resource groups that this user can view and possibly create and/or edit.
Location Filter The list (filter) of locations that this user can view and possibly create and/or edit.
Default Interval View Used on the Resource Status page.
Availability View Sets the default order of the Create New Activity product list section.
Default Availability View Determines whether users see the availability for a single location (the default location), or whether they see availability for all locations (according to location filter) in availability lists.
Max Activity Discount % The maximum discount the user can give on activity products. Default is 0%.
Max Additional Item Disc. % The maximum discount the user can give on additional charges. Default is 0%.

Note: The discount settings only apply to the Activity module and do not affect any restrictions on the POS.

Price Changing Specifies if the user is allowed to change the unit price, on activity products and/or additional charges during the reservation process.
Overbooking Allowed Specifies if the user is allowed to confirm an activity reservation, even if it will result in overbooking.
Note: It is only possible to overbook resources which are quantity based, that is classes, courses, and any kind of scheduled quantity. Normally, this excludes human resources or assignment of specific resource.
Booking Flexibility (Min) This specifies a restriction on users on how "close" in time they are allowed to book a resource. Setting a positive value in this field (60 minutes for example) means that the user is not allowed to book an activity, if there are less than 60 minutes to the activity taking place. Setting this field to -15 minutes means that the user can book an activity 15 minutes back in time. This can be useful if, for example, a customer walks in at 10:05 and then it is still possible to book a time at 10:00.
Time Adjustment (Hours) This specifies the number of hours the resource reservation time is adjusted related to the appointment time. Note: This field is not visible by default and should only be used in cooperation with an LS Retail consultant. Might be removed in the future and is for internal use only.
