How to: Work with Waiting Lists
If you need to keep track of waiting lists, you must set up a status with the internal status assignment Waiting list. When you create an activity or reservation, and there is no availability for a specific product and date, you have the option to assign the waiting list status on the entry.
To view these entries, you can use standard solution methods to create views that filter on that specific status. Then the following process applies:
- When an activity is canceled, the system checks if there is a waiting list entry for same location, same product and same date. If such an entry exists, users are informed and asked if they want to review the waiting list, and notification is added to the user’s notification list as a reminder. On that list the user may choose to assign a replacement for the canceled activity.
Tip: When the waiting list entry is confirmed, the confirmation status can be set up to send an email confirmation to the client.
- On the Activity Card and list, the Waiting List action in the Related menu lets you check if there is a waiting list entry for the same location, same product, and same date. The user can always check if there is waiting for the same service, and choose a replacement for the entry, if it is going to be canceled or if it has been canceled already.
