Action menus on Activity Card

This table lists and describes the actions on the Activity Card's Home, Actions, and Navigate menus.

Note: If the actions are not described here in this table, you can see information about the same actions on the Reservation Card. These actions will be the same view or functionality, but only restricted to the selected activity.

Menu Action Description
Home Resources Here the user can view the resources required to perform the services, as well as the resources already assigned and reserved. The user can also re-assign a replacement resource with any status, as well as reserve or release any of the resources.

During the reservation process (from the Role Center or the POS), the user might be presented with either the Reservation Card or the Activity Card. At that stage users might use the Resource action to select a specific resource, or they might simply accept (OK) the reservation or activity process, and allow the system to either process automatically the next available resources or give the user a selection list of available resources, when applicable.

  Unit Tracking Only applicable for rental products. Here the user can assign rental units or return rental units related to the activity charge.
  Schedule This action can be used to edit or reschedule the activity. If the activity is already confirmed, it will be automatically set to Draft, and then it will be reconfirmed when a new date and time has been set. This simplifies and speeds up the rescheduling of confirmed activities.
Note: Due to the significant impact of this action, it is only available on the Activity Card, and not on the Activity List page.
Actions Additional Staffing This option lets the user make a staffing request to Staff Management. The typical use for this would be a large event reservation which might require additional staffing. Here the user could request additional staffers (per shift and role), and this request would be sent to Staff Management when the activity is confirmed.
Note: At this stage it would only be a request to the Role Budget Adjustment functionality in Staff Management, and be presented in the roster as such to the planning manager.

Note: When the event is canceled, all role budget adjustments are recalled. In cases where the staffing has already been adjusted (and confirmed in the role budget adjustment request), the system will issue a new role budget adjustment, but this time a negative one (request for less staff).

Navigate Preferences Here the user can review any specific resource preferences the current client may have assigned. These preferences can be modified or inserted at this stage, and will be assigned generally to the client involved.

If the resources have not been assigned at this point, these preferences will be taken into notice when the activity is confirmed and the resources are assigned. The client preferences will be attached to the client records and will always be accessible on any Activity Card where the client is assigned. Those preferences will always be used as priority for resource assignments when the chosen resource is available.

Note: Preferences are assigned per resource group and, optionally, to the general level of the activity type, and even to the specific product, if needed. For example, clients may have their favorite therapist as well as a favorite massage room for a product or in general, and the system will always try to accommodate that preference, if possible.
