How to: Set Up License Manager

A License Manager feature is now available in LS Central.
Important: It is mandatory to set up the feature to be able to fully use LS Central on SaaS. Ask for your license key, if you do not have one yet.
Retail Setup
In the Retail Setup page:
- Fill in the HO Distribution Location field with the Head Office location.
Note: If the value in the Local Distribution Location is the same as in the HO Distribution Location field, this environment is the Head office.
Activate License
- Click the icon, enter License Manager Setup, and select the relevant link.
- Click the Setup action, and then Activate.
- Insert the license key provided by LS Retail in the License Key field, and select the relevant Environment Type that you are setting up.
- After a few moments you should see a similar result as in the below image. The list of units displayed depends on what is covered by your license.
Note: An outside of BC connection is triggered to our License API.
Demo
You can create demo units. The demo units will expire 30 days after being activated.
- In the License Manager Setup page, click the Setup action, and then the Demo License (SPG) action.
- The license is created with a DEMO unit available.
At any time you can activate a license key that will replace the existing Demo.
Assign Base Units
With an active license you need to assign BC users to LS Base Units.
- In the License Manager Setup page, click the Units Setup action, and then the Base Units action.
This triggers a call to the License Manager API. If an API call is not possible, a message is displayed. You will not be able to update the units.
- A page is displayed where you can see how many LS Base Units you have, how many are assigned, and how many are free to be assigned.
A list of users already assigned to LS Base Units is also displayed.
Note: These units are for the entire License Key, they are not company or tenant specific.
- To assign more users, click the Assign Units action.
A page pops up with a list of all your Full Users. On this page you can identify the ones already assigned. Select one or more users to be assigned, and click OK.
If you select a user that was already assigned, an error message is displayed. If you select more users than the units that are free, an error message is displayed.
- To unassign users, select one or more, and click the UnAssign Units action.
Assign Device Units
With an active license you need to assign POS terminals to LS Device Units.

In the License Manager Setup page, click the Units Setup menu, and then the Device Units action. This triggers a call to the License Manager API. If an API call is not possible, a message is displayed. You cannot update the units.

A page is displayed where you can see how many LS Device Units you have, how many are assigned, and how many are free to be assigned. A list of POS terminals already assigned to LS Device Units is also displayed.
Note: These units are for the entire License Key, they are not company or tenant specific.

To assign more POS Terminals, click the Assign Units action. A page pops up with a list of all your POS Terminals. On this page you can identify the ones already assigned. Select one or more to be assigned, and click OK.
If you select a POS Terminal that was already assigned, an error message is displayed.If you select more POS Terminals than the units that are free, an error message is displayed.

To unassign, select one or more, and click the UnAssign Units action.
Assign Bookings per Location Units
With an active license, if you wish to use the Bookings module, you need to assign Activity Locations to Bookings per Location Units.
- In the License Manager Setup page, click the Units Setup menu, and then the Bookings per Location Units action.
This triggers a call to the License Manager API. If an API call is not possible, a message is displayed. You will not be able to update the units.
- A page is displayed where you can see the how many Bookings per Location Units you have, how many are assigned, and how many are available to be assigned.
A list of Activity Locations already assigned to Bookings per Location Units is also displayed.
Note: These units are for the entire License Key, they are not company or tenant specific.
- To assign more Activity Locations, click the Assign Units action.
A page is displayed with a list of all your Activity Locations. On this page you can identify the ones already assigned. Select one or more to be assigned, and click OK.
If you select an Activity Location that was already assigned, an error message is displayed.
If you select more Activity Locations than units available, an error message is displayed.
- To unassign, select one or more, and click the Unassign Units action.
Assign Staff Management per Employee Units
With an active license, if you wish to use the Staff Management module, you need to assign the number of employees that you want to manage to Staff Management per Employee Units.
- In the License Manager Setup page, click the Units Setup menu, and then the Staff Management per Employee Units action.
This triggers a call to the License Manager API. If an API call is not possible, a message is displayed. You will not be able to update the units.
- A page organized in three sections is displayed:
In the first section, named LS Central Units, you can see how many Staff Management per Employee Units you have, how many are assigned, and how many are available to be assigned.
In the second section, named Staff Management per Employee Units Throughout Instances, you see the number of employees that are assigned to the Staff Management per Employee Units on this instance, and how many, if any, are assigned on other instances.
Note: Here, in the On this instance field, you see the actual number of employees that you are able to manage on this specific instance.
In the third section, named Employee Units Identifiers, you see a list of all Staff Management per Employee Units already assigned. Also, whether this particular unit is from this or another instance.
Note: These units are for the entire License Key, they are not company or tenant specific.
- To increase the number of employees that you can manage on your instance, click the Assign Units action. A dialogue window is displayed. Insert the number of employees you wish to add, and click OK.
- To decrease the number of employees that you can manage on your instance, click the Unassign Units action. A dialogue window is displayed. Insert the number of employees you wish to remove, and click OK.
Note: It is possible to unassign units from other instances. For this you just need to insert an amount greater than the one you have on this instance. Keep in mind, in this scenario, that the instances, from which the units will be unassigned, will be chosen randomly.
Assign Hotel per Property Units
With an active license, if you wish to use the Hotels module, you must assign Hotel Properties to Hotel per Property Units.
- In the License Manager Setup page, click the Units Setup menu, and then the Hotel per Property Units action.
This triggers a call to the License Manager API. If an API call is not possible, a message is be displayed. You will not be able to update the units.
- A page is displayed where you see how many Hotel per Property Units you have, how many are assigned, and how many are available to be assigned.
A list of Hotel Properties already assigned to Hotel per Property Units is also displayed.
Note: These units are for the entire License Key, they are not company or tenant specific.
- To assign more Hotel Properties, click the Assign Units action.
A page is displayed with a list of all your Hotel Properties. Here you can identify the ones already assigned. Select one or more to be assigned, and click OK.
If you select a Hotel Property that was already assigned, an error message is displayed.
If you select more Hotel Properties than units available, an error message is displayed.
- To unassign, select one or more units, and click the Unassign Units action.
Cancel Renewal Units
This page displays the renewal status of each of the units in the license. Use this page to cancel the automatic renewal.
- In the License Manager Setup page, click the Units Setup menu, and then the Cancellation Details action.
- A page is displayed where you can see the number of LS Units on the License, how many are to be automatically renewed, and how many are going to be canceled.
The full list of units is displayed with the relevant information, to whom the unit is assigned (if applicable), the date when it will expire, and the cancellation status.
Note: These units are for the entire License Key, they are not company or tenant specific.
- To change the cancellation status, use the column Cancel Automatic Renewal. Notice the column Cancellation Status value is updated.
Only rows with Cancellation Status blank or To Be Cancelled can be updated.
Updated but not submitted rows are highlighted in bold.
- To submit your changes, click the Send Cancellation Update action. This communicates with the License Manager API. The rows are updated when the process ends.
- If you close this page without submitting your changes, a pop-up warning window is displayed. If you click Yes, all the changes will be lost.
- Cancellation Status legend:
- A blank unit will be renewed automatically when the expiration date is reached.
- A To Be Cancelled unit was submitted to be canceled by the user, waiting for LS Retail to process the request.
- A Confirmed To Be Cancelled unit cancellation was processed by LS Retail and it will end when the expiration date is reached.
Update and license details
After you activate a license, different actions become available. These actions let you update the environment type and also the license key.

Click the Show License Details action on the License Manager Setup page to see more information about the license.
Note: An outside of BC connection is triggered to our License API.
The Update License Key action on the License Manager Setup page lets you activate a different license key.
Note: Be aware that any Unit assignment done with a current license key is not transferred to the new license key. Before updating your license key, you should consider the need to unassign units first.
Troubleshooting
Some warnings or errors that you may encounter:
The message below is displayed if you are using a license key that is not assigned to your Tenant ID or to your Microsoft Account Number. This will not stop you from working, but the message will be displayed several times until you update your license key.
