How to: Set Up a Pharmacy

The setting up of a pharmacy includes setting up prescription numbers, source and action codes, external login information, medicine verification and more.

  • Click the icon, enter Pharmacy Setup, and select the relevant link. Fill in the fields in the FastTabs.

The tables below list and describe the fields on the FastTabs in the Pharmacy Setup Card. Here are shortcuts to the FastTab descriptions:

General

Field Description
Hyperlink for Item Information Here you select the hyperlink for the item information. The link points to the medical price list for information about the product.
Issuer Creation Here you select the issuer creation method.

The available options are:

  • Standard - can be typed in manually. You must select a value in the Issuer No. Series field.
  • Use Pharmacy Prefix - can be typed in manually. You must select a value in the Issuer No. Series field, the value is used in the current location setup and gets the prefix.
  • Web Service - no Issuer No. Series needed.
Issuer No. Series If you selected Standard or Use Pharmacy Prefix in the Issuer Creation field, you select a number series for the issuer in this field.

The number series is used if an issuer does not get an official number.

Insurance Invoice No. Series Here you select a number series for the insurance invoices. The document number appears automatically when you create a new insurance invoice.
Insurance Invoice G/L Account Here you select the general ledger that is linked to the insurance payments.
Pharmacy User Autologoff (sec) Here you can select a timeout for automatic logging out of the system for the pharmacy user.
Pharmacy Login Type Here you select the pharmacy user's login type. The available options are:
  • User and Password
  • PIN Code
Valid time for MSR Login (sec) Specifies the length of time the MSR scanner is active for users to scan their ID card to log in.
Double Login at Start Select this check box so that, in case two pharmacy users log into the system simultaneously, the latter one will have all the responsibility.
No. of Months Cust. History Here you specify how many months the customer history should be stored in the system.
Require Issuer Location Select this check box, if you want the system to require the issuer's location when you create an issuer.
Duplicate Prescr. In Order Select this check box, if you want to allow more than one delivery of the prescription inside an order at the same time.
Pre-Approval

Here you configure how pre-approval of Prescriptions should be handled. The available options are:

  • Select None, if pre-approvals are not allowed.
  • Select Line, if the lines that are pre-approved do not need another approval.
  • Select Line and Order to automatically approve the order if all lines are pre-approved. The order can be taken to POS without further approval.
Leave Original Dose Text blank on Man. Prescription Select this check box, if the Original Dose text should be stored as blank when registering a manual Prescription Order. If this field is not set, the system stores the first Dose Text entered as the Original Dose text.
Delegate Comment Mandatory Specifies if a comment is mandatory when Delegate is identified as temporary.
Narcotics log level Specifies the level of Narcotics logging in the system. Available options are:
  • All items
  • Narcotics only
Disable Sales Item UoM Update Specifies if the Retail Items Sales unit of measure is not to be updated, when a linked Pharmacy Item is updated.
Block Prescr.Order in POS Refund mode Specifies if it is allowed to retrieve a debit Prescription Order (sales) when the POS is in Refund mode.

Prescription No.

Field Description
Prescription No. Length Here you specify the maximum length of the prescription number.
Fill With Zeros Select this check box to fill the remaining space in the prescription number with zeros.
Max. Details in Prescription The extra numbers after the hyphen (-) in the prescription number. This value indicates how many drugs there can be on the same prescription. The value 2 , for example, means the suffix cannot be higher than 2.

Source & Action Codes

Field Description
Source Code Lookup Cust. Info Use this field for authentication. The code is copied into the Delegate Entry table. This is useful, for example, when you are creating a prescription.
Source Code Order Internal use only.
Action Code Search Prescr. Internal use only.
Action Code Start Order Internal use only.
Action Code Deliver Order Internal use only.

External Login and Customer Orders

Field Description
Omni Pharmacy User Here you select a pharmacy user, if there should be one user for all stores that send e-prescriptions to Commerce for LS Central.
Note: This is not in the standard Commerce solution but in a customized version for Pharmacies.
Scheduler Pharmacy User Here you type in the pharmacy user that should be used in the pharmacy session for the Scheduler login.
Scheduler Terminal No. Here you type in the terminal number that should be used in the pharmacy session for the Scheduler login.
Retail Items in Rx Cust. Order Select this check box if retail items should be allowed in customer orders.

Medicines Verification

Field Description
Medicines Verification Active Select this check box, if you want packages to be verified against the National Medicines Verification System (NMVS), used for FMD (Falsified Medicines Directive).
B2B with FMD Specifies if FMD is enabled in B2B prescription orders.
Trace Log Select this check box, if the tracing should be logged. The log is stored in table 10037402 - Medicines Verification Log.
Skip Verification Reason Code Group If Medicines Verification should not be used, then a reason code group is selected here.
Dispensing Without Serial No. Allowed Select this check box if dispensing without a serial number should be allowed.
Skip MV comment Mandatory Specifies if a comment is mandatory when MV is omitted by the user.
MV Base URL Here you enter the URL address of the web server that will perform the medicines verification.
MV Authentication Base URL Here you enter the URL address of the web server that will provide you with the authentication token.
Expiry Warning Day Span Specifies how many days in advance the user is warned about an item being about to expire.
MV Standby After Timeout (sec) Specifies how long the system waits, until the user is offered to queue the MV request and continue, if no answer is received.
Allow Decommission as Destroyed Select this check box if you want to allow to decommission medicines ad destroyed. If this check box is selected, the Decommission as Destroyed button will be shown on the MV Decommission page.
Allow Decommission as Sample Select this check box if you want to allow decommissioning medicines as sample. If this check box is selected, the Decommission as Sample button will be shown on the MV Decommission page.
Allow Decommission as Supplied Select this check box if you want to allow decommissioning medicines as supplied. If this check box is selected, the Decommission as Supplied button will be shown on the MV Decommission page.
Allow Verify Select this check box if you want to verify that a medicine package is OK. If this box is selected, the Verify button will be shown on the MV Decommission page.
Allow Reactivate Select this check box if you want to reactivate a medicine package that has already been decommissioned. If this box is selected, the Reactivate button will be shown on the MV Decommission page.

Agents

Field Description
Agents Enabled Here you place a check mark, if the function for agents should be enabled.
Group Agent Shipment Lines  
Agent No. Series Here you select the number series for agents.
Agent Shipment No. Series Here you select the number series for agents shipments.
Customer Template Here you can create and select a customer template. Then a retail customer is created automatically from the pharmacy customer, and it is possible to post an invoice to the customer's account.
Commission Account Type Here you select the commission account type for the agent.
Commission Account No. Here you select the commission account no. for the agent.
Commission Charge Account No. Here you select the commission cost account no. for the agent.
Freight Account Type Here you can select the freight account type for the agent, if there is one.
Freight Account No. Here you can select the freight account number for the agent, if you selected a freight account type in the previous field.
Other Charge Account Type Here you can select an account type for other charges for the agent, if he has other charges.
Other Charge Account No. Here you can select an account number for other charges for the agent, if you selected a charge account type in the previous field.

Note: The accounts or items selected for each charge define the product posting settings that are used for that charge. You must also create number series for Agents and Shipments.
