Archiving Dining Reservation History

In addition to calculating dining area statistics to reduce the amount of data being worked with on a daily basis, you also need to archive dining reservation history entries on a regular basis. These entries are created when the system closes the dining reservation entries:

  • Guests have been seated at allocated tables and their orders have been completed or voided.

  • Reservation is canceled.

  • Reservation is marked as No-Show.

The program archives the entries in the Dining Reserv. History Entry table into Archived Dining Reserv. History Entry table. Comments are also moved between the tables.

To archive dining reserv. history entries

  1. Click the icon, enter Dining Areas, and select the relevant link.
  2. Select the desired dining area.
  3. In the Days Din. Res. History Entries Exist field, enter the number of days you want to keep the history entries in the database.
  4. On the Action bar, select Archive, Archive Din. Res. History Entries. If the number of entries is greater than 0, confirm the question. If the number is very large, consider archiving up to a certain date in the passed to minimize the time it takes to archive.

To archive dining reserv. history entries up to a specific date

  1. On the Action bar, select Archive, Archive Din. Res. History Entries - Specific Date.

  2. Enter a date up to which you want to archive the entries. If the number of entries is greater than 0, confirm the question. If the number is very large, consider archiving up to an earlier date to minimize the time it takes to archive.

To Recall an archived dining reserv. history entry

  1. In the Dining Area Card, on the Action bar, select Dining Reservations, Arch. Dining Reserv. History Entries. The page shows the entries that have been archived.

  2. Select the desired entry.

  3. Select Recall Archived Entry on the Action bar and Confirm the question.

  4. Close the page.

  5. View the recalled entry by selecting Dining Reservations, Dining Reserv. History Entries.

Running the archiving in the job queue

You can also schedule the run of the Archive Dining Reserv. History Data job regularly, when the restaurant is not open. This job will archive entries for dining areas with Days Din. Res. History Entries Exist set as greater than zero.
