The Allowance Assignment action
The reservation types are containers for multiple activities or participant lists, for example for courses.
The user can define the view settings for the Reservations card and specify how dates are presented.
To set up reservation types
- Click the
icon, enter Reservation Types, and select the relevant link.
- Click the New action.
Note: The Activity Types action opens a very important setting. Here the user is required to assign which activity types are allowed within the reservation and which view settings would be appropriate and suitable.
If this setting is ignored, you cannot assign any product on a reservation since the reservation type would give access to any type of product (based on the activity types allowed for the reservation).
The fields on the Reservation Type Card are:
General FastTab
Field | Description |

Code | Unique ID reference for the reservation type. |
Description | The general description. |
Multiple Clients | Used when the reservation needs a client assigned to each activity in the reservation lines, or if the reservation only belongs to a single client assigned on the reservation header. |
Multiple Locations | Used when the reservation needs or allows location to be assigned on each activity in the reservation lines, or if location is only assigned on the reservation header. |
Date Restriction | Specifies if BackOffice users are allowed to enter activities outside the date range of the reservation header dates. |
No. of Activity Types | Indicator showing the number of activity types allowed within the reservation type scope. |
Reschedule Price Handling |
Specifies how price changes are handled during the reschedule process in the availability matrix.

Field | Description |

Date Range | This defines how dates are represented on the Reservation Card and must take notice of the combination of activities within the reservation type. The options are:

Show Activity Availability | To display availability on each activity in the reservation lines. |
Show Line Quantities | To show quantity on the reservation lines. |
Show No. of Persons | To show the number of persons on the reservation lines. |
Show Additional Charges | To display the Additional Charges FastTab on the reservation lines. |
Show Reservation Charges | To display the Reservation Charges FastTab on the Reservation card. Reservation charges (Retail Items/Deals) can be assigned to a reservation in general. The activity's additional charges are linked to a specific activity, but reservation charges are assigned on the reservation, and derive the location, status, and date settings from the Reservation card header settings. Note: Reservation charges are not supported when the reservation type is set as Banquet Event Order, since reservation charges are not supported in BEO views, except as activity additional charges. |
Show Price & Amounts | To show the price and amount related fields on the reservation lines. |
Show Rental Units | To have the Rental Unit assignment view open on the Reservation card and on the Activity card. Practical when the reservation type is presenting rental contracts. You can still assign and return rental units without having this view open by default, since the Unit Tracking view will be accessible on the action pane for rental activity products. |
Show Time Range | This field defines how times are represented on the Reservation Card. The combination of activities within the reservation type must be taken into notice. The options are:

Show Comments | Specifies if the Comment section should be open and accessible on the Activity Reservation Card. |
Show Task Schedule | Specifies if the Tasks section should be open and accessible on the Activity Reservation card. |
Show CRM Options | Specifies if CRM functionality should be available on the Reservation Card. This would provide access to assigning an Opportunity link and create Opportunities in the CRM based on the reservation details. |
Show Main Resource | Specifies if the Main Resource field should be shown on the activity reservation line and the user be able to assign a specific resource to the activity during entry in the activity line. This is a good option, if the resource selection should affect pricing (that is pricing based on resource), or even when the duration of the product might be affected based on which resource handles the service. |
Show Guest Type | Specifies if the Guest Type field should be displayed on the activity and group reservation line and the user be able to assign a specific guest type to the activity during entry in the activity line. This would then also set the parameter for pricing and availability lookup to show correct pricing for the related line. |
Resource Group Filter | Specifies if the Main Resource field on the activity lines or card should have a filter on the lookup and entry of the resource. So if the product has multiple resources required to handle the activity, the main resource field might only be used to select the human resource, for example. Only used if the Show Main Resource setting is on. |
Default Matrix View | Specifies the matrix template to use when the availability matrix is shown from the Reservation Card's action pane. |
Group Settings FastTab
Field | Description |

Default Charge Type | This setting applies to group reservations only. Determines the default Charge Type assigned to the group reservation line when they are created initially. Charge type set as Group will set the related group charges to be paid by the group payment process, but if it is set as Individual, it will set the group line to be paid using normal payment processes for the individual Group member reservation. |
Group Payment Handling | Specifies if the payment process of the group should only pull in activity group lines of the charge type Group, or if they should include all, regardless of the charge type. |
Group Reservation Expanding | This setting applies to group reservations only. Determines if the group lines are expanded to multiple activity reservations per group member, or if they are simply added to the paymaster reservation. |
Check Group Members | This setting applies to group reservations only. Determines if the group members are checked at confirming the group reservation if they have been assigned activities. If they do not have any activities assigned, the user will receive a warning message box with a list of group members who have not been assigned any activities. |
Update Reservation Dates | This setting applies to group reservations only. Determines if the dates in the group lines will be updating the date period of the group reservation (header) during confirmation. |
Show Member Activities | This setting applies to group reservations only. Determines if each group member's activities are shown in the Group Reservation card. Show All Activities shows all the group member's activities as the group member is selected in the member part page, but Show Line Related only lists the activities that are related to the group line selected at the same time. |
Group Member Assignment | When a group reservation is confirmed (or a group line within a group reservation), and the user has not prior assigned any group members specifically to the groupline/activities, the system will automatically assign the group members to the activities as follows: By First - Populate the group members' section by group members, starting with the first line (no. 1) in the group and up to the number of persons to be assigned. By Next - Populate the group members section by group members, starting from the next group member line, based on the last group member assigned on previous activity group line, that is continue assignment from the last member assigned in prior activity group line. |
Confirm Price Changes | When a group line is being edited, then the editing could lead to basis for new price or discount being assigned. By default this change of price or discount is automatically assigned, but here you can set if the user should be warned about the changes in price or discount, and needs to confirm to accept the changes. |
Archive FastTab
Field | Description |

Archiving | Specifies if the reservations of this reservation type should be archived during the archiving process, or if they should be excluded and always remain active. |
Archive (Older than X Days) | Specifies how many days in the past the activity entries should stay in the active transaction tables. If not specified, the default is automatically set to 90 days. See Archive for more details on the archiving process and logic. |
Track Resources | Specifies if the system should log the resources assigned as part of the status change process. If set, the activity status log will include the main resources assigned as human, location, equipment, and other after the status change has been processed. Note: Only one resource per resource type is registered in the change log. |
Banquet Events FastTab
Field | Description |

Use Banquet Category | Specifies if the activity lines and the additional charges lines in the reservation will allow the Banquet Category to be assigned. Also allows access on the Reservation Card to actions related to the Banquet Event Orders, including BEO View, BEO Versions, and Responsibilities. Note: This also makes the Total No. of Persons field editable on the Reservation Card. |
BEO Format | Specifies how the BEO view will be generated, either as general summary of all events, or grouped by date. |
Event Show Comment | Specifies if the BEO View shows the reservation comments, and if those are displayed at the top or bottom of the view. |
Agenda Caption | Specifies the caption of the BEO section which displays the agenda of the events registered in the reservation (that is the related activities), normally this would be set as Agenda. |
BEO Show Responsibility | Specifies if the BEO View will be showing the persons responsible for each Banquet Category or not. |
BEO Report | Specifies the custom BEO report to use when printing the BEO from the Reservation Card. If this value is blank then the default report is used. This allows the implementation partner to easily make custom BEO report for the client/user and assign it here to overwrite which report is used for the BEO printing. |
Cost Management
Field | Description |
---|---|
Cost Updates | Specifies if the cost update process should include all reservations belonging to this reservation type when executed. The process will process draft, waiting list, and confirmed reservations that are set today or in the future (as specified in the reservation date). The related retail items and activity costs are recalculated based on cost prices at execution date and updated. Note: When opening the Cost views in the reservation cards, the cost prices are always updated to the latest cost price, unless the reservation date is in the past. |
Cost Updates (X Days ahead) | Specifies how many days into the future the reservations are processed and cost prices updated. Also at that point, any cost price hike alerts are issued and displayed in the role center's Cost Alerts tile. If not specified, all future reservations are processed. The administrator can set this up as a batch scheduler job to have this process run automatically. The Codeunit to be assigned is Codeunit 10015877 LSC Activity Cost Handling. |
Cost Update Warning % | Specifies when a cost price alert should be issued, that is based on the percentage difference of the raised price versus the previous cost price in the same reservation. If not specified, any raised cost price will trigger an alert. |
The Activity Types action
The Activity Types action opens the Reservation Type Activity card. Here the user is required to assign which activity types are allowed within the reservation and which view settings would be appropriate and suitable.
Note: The Activity Type is an important setting. If it is ignored, you cannot assign any product to the reservation, since the reservation type would give access to any type of product (based on the activity types allowed for the reservation).
The Allowance Assignment action
Allowance assignments settings allow the user to specify which retail items or deals should be assigned as allowances rather then direct sales posting. Normally, the allowance assignment is defined when the user sets the activity additional charges, however, in case of reservation charges or manual adding of items, there is no default assignment.
This setup allows the user for those cases (and in general as a default) define which products should be assigned as allowances.
Note: This can be done generally for an item category, item product group, or down to a specific deal or an item. The most specific setting will be used as the default assignment.
