Moving Money

Money moves in and out of the safe at several points in the retail cycle. Before the store opens, the initial Fixed Float is funded from the bank into the safe. Throughout the day and at end of day, bags of counted cash are transferred from the safe to the bank. When only part of a bag's contents needs to be deposited, the bag is first split and the deposit portion is transferred. Every one of these movements is recorded as a Safe Transfer document, which posts to the Safe Ledger Entries and to the relevant bank or G/L account in Dynamics Business Central.

Common scenarios

  • Initial fixed float into a new safe. When a safe is set up for the first time, the starting float amount is funded by taking money from the bank and transferring it into the safe. See Money from Bank or G/L Account .
  • End-of-day bag deposit to the bank. After statements are calculated and posted, closed bags are transferred from the safe to the bank account (or a G/L account). See Money from Safe to Bank or G/L .
  • Splitting a bag to deposit part of it. When only a portion of an open bag needs to be sent to the bank, the bag is split into two — one for the deposit amount and one for the remainder — and the deposit bag is then transferred. How it works (briefly)

All money movements use the Safe Transfer document. The key fields are:

  • Transfer DirectionFrom Safe for deposits to the bank; To Safe for funding the safe from the bank.
  • Bal. Account TypeBank Account or G/L Account, depending on the destination or source.
  • Bal. Account No. — the specific bank account or G/L account.
  • Lines — each line references a Bag No. and the tender type and amount being transferred.

When a Safe Transfer is posted, the system creates Safe Ledger Entries with Document Type = Transfer for each line, and posts the corresponding credit or debit to the selected bank or G/L account. Posted transfers are stored in the Posted Safe Transfer list and can be used for audit and traceability.
