Changing the Bag Type

The Bag Type on a Safe Ledger Entry and its linked safe bag determines how the money in that bag is categorised and posted. The three available types are:

  • Bank — the bag is earmarked for bank deposit. Bank bags are excluded from coins when the Exclude Coins to Bank option is set on the tender type.
  • Safe — the bag is general safe cash, available for float replenishment or further counting.
  • Fixed Float — the bag represents a permanent float amount that circulates between the safe and the drawer each day.

You may need to change the type when a cashier placed cash in the wrong bag category, or when you decide that safe cash should instead be designated as a bank deposit (or vice versa). You can only change the type on open entries.

The action is performed directly on the Safe Ledger Entry list, not on a card.

To change the bag type

  1. Click the icon, enter Store Safe List, and select the relevant link.
  2. Select the safe you want to work with, then on the Related menu choose Safe - Ledger Entries. The Safe Ledger Entry list opens, showing all entries for the safe.
  3. Locate the entry whose type you want to change. Confirm that the Open column shows Yes. Entries where Open is No cannot be changed.
  4. With the entry selected, on the Actions menu choose Change Safe Type.
  5. A menu is displayed listing the valid target types based on the current type:
    • If the current type is Safe, the options are Bank and Fixed Float.
    • If the current type is Bank, the options are Safe and Fixed Float.
    • If the current type is Fixed Float, the options are Safe and Bank.
  6. Select the target type. For Fixed Float, the entry must already have a Statement Code and an active bag linked to it. Only one Fixed Float bag is permitted per statement code.
  7. The Safe Type column on the Safe Ledger Entry list updates immediately. If the entry has a linked safe bag, the Bag Type on that bag is also updated.

To verify the change in the change log

  1. Click the icon, enter Store Safe List, and select the relevant link.
  2. Select the safe, then on the Related menu choose Safe - Open Bags. The Safe Bag List opens.
  3. Select the bag whose type was changed, then on the Related menu choose Safe Bag - Change Log. The Safe Bag Change Log opens, showing a new entry with Action Type = Bag Type Changed.

Note: You can only change open entries. If the entry is closed, you must consult your accountant or use a corrective journal entry in the Store Safe Journal.
