To manage Item Store Recs from Item Distribution

The Item Distribution List allows you to maintain replenishment data on a list page that connects Items with Store Groups, Customers, and Customer Groups.

Item Distribution can be maintained in three areas within LS Central:

  • Retail Item Card
  • Hierarchy Relations
  • Item Distribution List

While the Retail Item Card allows you to maintain this information for a single item, the Item Distribution List enables you to update multiple items on a single page. Field changes can be applied to a single record or to a group of records by using the Update Rule. This rule sets the scope of a change to apply to the current record, marked records, or filtered records.

Item Store Records can be created or deleted automatically by the system if the corresponding setup fields in the Replen. Setup are activated. Changes to the Dimension Pattern Code field can also update the Item Store Records.

Updates to Item Store Records will trigger a breakdown calculation (following Variant Weights or Dimension Patterns) if this functionality is activated in the Replen. Setup.

To access the Item Distribution List:

  1. Click the icon, enter Item Distribution List, and select the relevant link.
  2. Click on Edit List to manage your list.

To show/hide additional fields

In the Replen. Setup page, under the Integration FastTab, in the Item Distribution List group, you can set up the default state for the Item Distribution List page to show additional fields beyond the standard Item Distribution fields.

Field Description
Show Dim. Pattern in Item Distr. List Specifies if the Dimension Pattern Code field is shown by default in the Item Distribution List page.
Show Capacity in Item Distr. List Specifies if the capacity related fields are shown by default in the Item Distribution List page.

You can also toggle the visibility of the additional fields from the page action in the Item Distribution List page.

In the Item Distribution List, under the Home menu:

  • Show/Hide Item Fields - Toggle the visibility of additional fields from the item.
  • Show/Hide Dim. Pattern Field - Toggle the visibility of the Dimension Pattern Code field.
  • Show/Hide Capacity Fields - Toggle the visibility of capacity fields. The Total Capacity Value is the product of the No. of Facings field, the Item Capacity Value (from Retail Item Card), and the No. of Stores in Store Group.

To view related information

The Item Distribution List provides functionality to easily access related information for a selected record.

  1. In the Item Distribution List page, select an Item Distribution record.
  2. Under the Master Data menu, below are the available actions:
    • Retail Item Card - View or edit detailed information about the selected item on the list.
    • Replenishment Control Data - View or edit Replenishment Control Data of the selected item on the list.
    • Variants - Open the Variant Worksheet of the selected item on the list.
    • Variant Framework - View or edit the Variant Framework associated with the item on the list.
    • Dimension Patterns - Open the Dimension Pattern List page.
    • Dimension Pattern Document - Open the Dimension Pattern Document page based on the Dimension Pattern Code of the selected Item Distribution record.
    • Replenishment Setup - View or edit Replenishment Setup.

To bulk update Item Distribution records

Before executing a bulk update, it is recommended to first filter or mark the Item Distribution records that you intend to modify. This preliminary step ensures that the changes are applied accurately and only to the relevant subset of the data within the Item Distribution List.

You can filter the Item Distribution records using the following fields in the General FastTab:

Field Description
Store Filter Specifies the store to filter by. When selected, the Type Filter is set to Store, and the Code Filter is set to the store groups that contain the selected store.
Type Filter Specifies the type of distribution to filter by, either by Store, Customer, or Customer Group.
Code Filter Specifies the Store Group Code, Customer Group Code, or Customer No. to filter by, depending on the selected Type Filter.
Item Category Code Filter Specifies the Item Category Code to filter by.
Retail Product Code Filter Specifies the Retail Product Code to filter by.
Item No. Filter Specifies the Item No. to filter by.

Under the Filter and Mark menu, there are functions to apply filters by attributes, clear attribute filters, and mark selected records for multi-row updates. The marking actions are used in conjunction with the Update Rule field when it is set to Marked Lines. To mark or unmark a record, use the Mark action. The Clear Marks action removes all active marks. The Marked Only action toggles the view to show either all records or only the marked ones.

The Item Distribution List provides functionality to update multiple records in one step using the Update Rule field. The field can have the following values:

  • Current Line Only - If you modify a field in the current record, this will be applied to this record only.
  • Filtered Lines - If you modify a field in the current record, this will be applied to all records in the current list view, based on the active filters.
  • Marked Lines - If you modify a field in the current record, this will be applied to all records with an active Marked check box.

Note: When updating the Dimension Pattern Code field, the system checks if the Dimension Pattern can be applied to the filtered/marked records. If an item does not support the Dimension Pattern (depending on its Variant Framework settings), the Item Distribution record will not be updated.

You also have the option to set the Item Distribution's fields Status, Ordered by, and Ordering Method with the below actions:

  • Click Home - Set to Active-Central-Calculate, to set the Status to Active, Ordered by to Central, and Ordering Method to Calculate.
  • Click Home - Set to Active-Central-By Hand, to set the Status to Active, Ordered by to Central, and Ordering Method to By hand.

The Copy Item Distribution function opens a report that lets you copy Item Distribution records from one item to other items.

To view Replen. Item Store Recs subpage

The Replen. Item Store Recs subpage allows you to create, delete, and modify Item Store Recs. The action Add Locations/Variants provides guided assistance in creating Item Store Recs. In the Replen. Setup page, under the Integration FastTab, in the Item Distribution List group, you can set up the default state for the Item Distribution List page to show the Replen. Item Store Recs FastTab:

Field Description
Show ISR Subpage in Item Distr. List Specifies if the Replen. Item Store Recs subpage is shown in the Item Distribution List page per default.

You can also manually toggle the visibility of the Replen. Item Store Recs FastTab by clicking Item Store Records - Show/Hide ISR.

Note: The fields visible on this subpage are controlled by the Replen. Control Data Fields setup. When the Item Distribution List page opens for the first time, a new record with the View Code ITEMSTOREREC is created automatically, and default settings are applied. You can overwrite these settings to change field visibility. This subpage supports the same fields as the corresponding subpage in the Replen. Control Data List page.

To manage Item Store Recs from Item Distribution

The Item Distribution List provides functionality to update Item Store Recs automatically when changes are applied to an Item Distribution record. This behavior is specified in the Replen. Setup page, under the Integration FastTab, in the Item Distribution to Item Store Rec group:

Field Description
Item Distr. to ISR Update Specifies if inserting, deleting, or changing an Item Distribution record will update the Item Store Records.
Update ISR if Dim. Pattern Changes Specifies if a change to the Dimension Pattern Code field triggers an update to Item Store Records. When changed, the system checks for the allowed variants (based on the chosen Dimension Pattern) and creates or deletes the corresponding Item Store Records accordingly.
Create ISR per Location Specifies if Item Store Records will be updated per store location, when inserted from an Item Distribution record.
Create ISR per Variant Specifies if Item Store Records will be updated per variant, when inserted from an Item Distribution record.

The current settings in the Replen. Setup can be shown in the Item Distribution List page, by clicking Show More in the General FastTab of the page.

You can also manage Item Store Records for the currently selected Item Distribution record with various actions.

  1. In the Item Distribution List, select an Item Distribution record.
  2. Under the Item Store Records menu, below are the available actions to manage the Item Store Records:
    • Create ISR (Variants) - Create Item Store Records for all variants which are part of the item in the currently selected Item Distribution record.
    • Create ISR (Locations) - Create Item Store Records for all locations which are part of the store or store group in the currently selected Item Distribution record.
    • Create ISR (Locations & Variants) - Create Item Store Records for all locations and variants which are part of the currently selected Item Distribution record.
    • Delete ISR - Delete all Item Store Records for the selected Item Distribution record.
    • Delete all ISR - Delete all Item Store Records for the selected item.

Note: While it is not a best practice, the Item Distribution functionality allows you to assign overlapping store groups to a single item. For example, Store Group S0001 contains store S0001, while Store Group SUPERMARK contains stores S0001 and S0002. In this case, the resulting Item Store Records will reflect the combined data from both groups. If an Item Distribution record is deleted, the system will adjust the Item Store Records to account for the remaining records.

Replenishment parameters break down from Item Distribution to Item Store Records

When updating an Item Distribution record, for an item with variants, it is possible to automatically break down the Reorder Point and Maximum Inventory values of the item by Variant Weight or Dimension Pattern, and update the corresponding fields in the Item Store Records. This occurs when the breakdown functionality is activated in the Replen. Setup.

When Update ISR if Dim. Pattern Changes is activated, changing the Dimension Pattern Code on the Item Distribution records will also trigger the breakdown functionality for Reorder Point and Maximum Inventory.

Additionally, the breakdown calculation for Item Store Records can be triggered manually:

  1. In the Item Distribution List, select an Item Distribution record.
  2. Under the Item Store Records menu, below are the available actions to break down the Reorder Point and Maximum Inventory values for the Item Store Records:
    • RoP/Max Breakdown (Variant Weight) - Recalculate the Reorder Point and Maximum Inventory fields using the item’s Variant Weight settings.
    • RoP/Max Breakdown (Dimension Pattern) - Recalculate the Reorder Point and Maximum Inventory fields using the item’s Dimension Pattern settings. This is only possible if a Dimension Pattern exists for the item.
    • RoP/Max Breakdown (Reset) - Recalculate the Reorder Point and Maximum Inventory fields and set the Item Store Records to the item’s Reorder Point and Maximum Inventory (without breakdown).
